Membership Terms and Conditions
1. Who we are and what these Terms cover
1.1 ONLY4COACHING SRL, Rue de la Science 37, 1040 Brussels, Belgium. Enterprise and VAT number BE 0761.534.132, RPM Brussels. Email: info@only4coaching.com.
1.2 In these Terms, "we" and "us" mean ONLY4COACHING SRL. "You" means the person who buys or uses our services.
1.3 These Terms apply to every membership, package and session you buy from us. Together with our House Rules, our Privacy Policy and your signup confirmation, they form your contract with us.
1.4 You accept these Terms when you sign up or renew. We send you a copy by email at signup, so you keep it on a durable medium.
1.5 These Terms are published on our website, where you can read, download and print them at any time. When you sign up online, you accept them with a tickbox before you pay.
2. Definitions
- Cycle: a period of 28 consecutive days. Your first cycle starts on your membership start date.
- Commitment: a fixed number of cycles you agree to pay for, as set out in Sections 6 and 7.
- Session: one coached training session, 60 minutes unless stated otherwise.
- Package: a prepaid number of sessions with a validity period stated at purchase.
- House Rules: the studio rules posted in the studio and on our website.
- Working day: Monday to Friday, excluding Belgian public holidays.
3. Membership plans and eligibility
3.1 Flexible 28-day membership. Renews every cycle until you cancel (Section 5).
3.2 Six-month commitment. 6 cycles (168 days), then continues as a flexible membership (Section 6).
3.3 Annual commitment. 12 cycles (336 days), paid upfront, then continues as a flexible membership (Section 7).
3.4 Private coaching packages. Prepaid sessions with a validity period stated at purchase.
3.5 Semi-private coaching packages. Prepaid sessions with a validity period stated at purchase.
3.6 Open Gym sessions. An optional add-on. You book each slot in advance and train only during that slot. We offer no walk-in access.
3.7 Sessions per cycle. Your membership includes the number of sessions per cycle stated at purchase.
3.8 Personal use. Your membership and sessions are for you alone. You cannot sell, share, transfer or assign them without our prior written approval.
3.9 Age. You must be 18 or older. We admit 16 and 17 year olds only to programs we specify, with coach approval. A parent or legal guardian must sign the contract on their behalf.
4. 28-day cycles and sessions
4.1 Every membership runs in cycles of 28 days. Each cycle gives you the number of sessions stated at purchase.
4.2 You use your sessions within the cycle. Unused sessions do not roll over. We do not refund, credit or convert them into extra membership time. This applies whatever the reason you did not book or attend.
4.3 One exception protects you. If our schedule did not offer enough open slots during a cycle for you to book all your sessions, we credit the sessions you could not book to your next cycle. Tell us by email within 7 days after that cycle ends.
4.4 We may allow you to use a session outside its cycle as a one-off gesture. A one-off gesture does not give you a right to future rollover.
4.5 When your membership ends, unused sessions expire. They do not extend your membership, convert into cash or transfer to a new membership, except under clause 4.3 or where the law requires otherwise.
5. Flexible 28-day membership
5.1 Your flexible membership renews automatically at the end of each cycle until you cancel.
5.2 To stop the next renewal, email us at least 7 calendar days before your next cycle starts. Your membership then ends on the last day of your current cycle.
5.3 If your notice arrives later, your membership ends on the last day of the following cycle.
5.4 You cannot shorten a cycle that has started. Unused sessions in that cycle give no right to a refund, partial refund, extra sessions, extension or credit. Your rights under Section 11 (withdrawal) remain.
6. Six-month commitment
6.1 The six-month commitment is a fixed commitment of 6 consecutive cycles (168 days). You pay the fee for every cycle of the commitment.
6.2 You cannot end the commitment early because you travel, change your schedule, move temporarily, cannot train for a while or have unused sessions. For absences, use a freeze or a medical suspension (Section 8). You can end the commitment early only under Section 11 (withdrawal) or clause 12.3 (hardship).
6.3 At least 30 days before your commitment ends, we remind you by email of its end date and of your right to stop.
6.4 When the commitment ends, your membership continues as a flexible 28-day membership at the same price, unless we notified a price change under Section 14. You can then cancel at any time under Section 5.
6.5 To end your membership exactly when the commitment ends, email us at least 7 calendar days before its last day.
7. Annual commitment
7.1 The annual commitment is a fixed commitment of 12 consecutive cycles (336 days). You pay the full price upfront in one payment.
7.2 Your sessions follow the cycle rules in Section 4. Unused sessions do not roll over from one cycle to the next.
7.3 Travel and holidays do not suspend your membership. You cannot end the commitment early for the reasons listed in clause 6.2. For absences, use a freeze or a medical suspension (Section 8).
7.4 Clauses 6.3 and 6.5 apply to the end of your annual commitment. When it ends, your membership continues as a flexible 28-day membership at the flexible price in force at that time, paid by SEPA direct debit. We state that price in the reminder under clause 6.3.
8. Freezes and medical suspension
8.1 Free freeze days. You receive 21 free freeze days per six-month commitment and 42 free freeze days per annual commitment. You can use them in one period or split them. Each freeze period lasts at least 7 consecutive days.
8.2 How to request. Email us at least 5 working days before the freeze starts, with the start and end dates.
8.3 What a freeze does. Your current cycle pauses. Your next payment date and your commitment end date move back by the number of frozen days. You cannot book sessions during a freeze, and no extra sessions build up. Sessions left in your paused cycle stay available when it resumes.
8.4 Extra freezes. Once you have used your free days, you can buy an extra freeze for €100. An extra freeze lasts up to 2 cycles (56 days). Your total extra freeze time cannot exceed 56 days per commitment. We approve reasonable requests.
8.5 Flexible members. Flexible memberships have no freeze option. Cancel under Section 5 and restart when you return.
8.6 Medical suspension. If illness or injury stops you from training for 4 weeks or more, email us a medical certificate stating the period you cannot train. The certificate does not need to state a diagnosis. We pause your membership and payments for that period, free of charge, from the day we receive the certificate. Your commitment end date moves back accordingly. A medical suspension does not use your freeze days.
8.7 Packages. A medical suspension under clause 8.6 extends the validity of your package by the certified period.
9. Booking, punctuality and session cancellations
9.1 Book every session in advance through our booking app. Places are limited. A booking does not reserve a recurring slot.
9.2 Sessions start and end on time. If you arrive late, your session still ends at the scheduled time. Leave the training space when your session ends so the next group can start. You cannot train outside your booked slot, including Open Gym.
9.3 To cancel a booked session, cancel in the app at least 3 hours before it starts. A later cancellation or a no-show counts as a used session, whatever the reason.
9.4 If we cancel a session, we credit it to you. For a package, we credit or refund it. A cancellation by us never counts as your cancellation or no-show.
10. Prices and payments
10.1 We show all prices including VAT at purchase. Flexible and six-month membership prices are per 28-day cycle, which means 13 payments a year. The annual commitment has one upfront price.
10.2 You pay recurring memberships at the start of each cycle by SEPA direct debit. We send you the payment schedule at signup. That schedule is your notice of each debit. You pay packages and annual commitments upfront. Annual members also sign a SEPA mandate at signup for the flexible cycles that follow their commitment.
10.3 Not attending does not pause or reduce your payments. Cancelling your direct debit does not end your contract. You still owe amounts due by another payment method.
10.4 If a payment fails, we send you a free reminder by email. You then have 14 calendar days to pay, counted from the working day after we send it. We may block new bookings until you pay.
10.5 If you have not paid when that period ends, you owe late interest at the rate Book XIX of the Belgian Code of Economic Law allows, plus a fixed indemnity of:
- €20 if the unpaid amount is €150 or less
- €30 plus 10% of the amount between €150.01 and €500
- €65 plus 5% of the amount above €500, up to €2,000 in total
10.6 If you buy through a VAT-registered company, give us its details at purchase. We then issue an electronic invoice through Peppol, as Belgian law requires.
11. Right of withdrawal
11.1 If you sign up online, by phone or anywhere other than our studio (for example at an event at your workplace), you can withdraw within 14 calendar days from the contract date. You do not need to give a reason and you pay no cost.
11.2 To withdraw, send us a clear statement by email or letter before the 14 days end. You can use the model form in the Annex, but you do not have to.
11.3 We refund all your payments within 14 days of receiving your withdrawal, using the payment method you used.
11.4 You can start training during the 14 days only if you expressly ask us to at signup. If you then withdraw, you pay for the sessions you received, in proportion to the full price. If we have delivered all the sessions of a package at your express request, and you confirmed that you would lose your withdrawal right once all sessions were delivered, you can no longer withdraw.
11.5 This right does not apply to contracts you sign in person at our studio.
12. Ending your membership
12.1 You end a flexible membership under Section 5 and a commitment at its end under clauses 6.5 and 7.4.
12.2 Send your notice by email to info@only4coaching.com or by letter to our address. Your notice takes effect on the day we receive it. We confirm receipt within 2 working days. Keep our confirmation.
12.3 Hardship. You can end a commitment early if you:
- move permanently more than 25 km from our studio, with proof of your new address, or
- cannot train for more than 8 weeks for medical reasons, with a medical certificate.
Your membership then ends on the last day of your current cycle. We refund any prepaid fees for later cycles and any unused package sessions, in proportion to the price paid.
12.4 You can also end your membership under Section 14 if we change prices or Terms to your disadvantage.
13. Ending by ONLY4COACHING
13.1 Serious breach. We can end your membership immediately if you:
- harass, discriminate against, threaten or use violence against anyone at the studio
- wilfully damage or remove studio property
- let another person use your membership
- endanger yourself or others by refusing reasonable safety instructions
- still have not paid 30 days after the payment period in clause 10.4 ends
13.2 Other breaches. For other breaches of these Terms or the House Rules, we first send you a written warning. We end your membership only if you repeat the breach after that warning.
13.3 Before we end your membership, we tell you why and give you a chance to respond, unless there is an immediate safety risk.
13.4 If we end your membership under clause 13.1 or 13.2, you pay what was due up to the end date. We refund prepaid fees for later cycles and unused package sessions, minus any damage you caused that we can document.
13.5 Without fault. We can end a flexible membership with notice of one full cycle. We end a commitment early only if we close or relocate the studio. In both cases, we refund prepaid fees for later cycles and unused package sessions.
13.6 When your membership ends, your access and bookings end. We never charge you for cycles after the end date.
14. Changes to prices and Terms
14.1 Your price stays fixed for your whole commitment. Prepaid packages keep their price and terms until they expire.
14.2 For flexible memberships, including memberships that continue after a commitment, we can change the price with at least 30 days notice by email.
14.3 We can change these Terms for operational, legal or safety reasons, with at least 30 days notice by email.
14.4 If a price change or a change to these Terms is to your disadvantage, you can end your membership free of charge before the change takes effect, even during a commitment. The notice periods in Sections 5 and 6 do not apply. Until your membership ends, the old price and Terms apply.
15. Health, safety and House Rules
15.1 Tell your coach before training about any injury, medical condition, limitation or change in your health that may affect your training. We may ask for medical clearance.
15.2 Get medical advice before training where your health requires it.
15.3 Follow your coach's instructions. Your coach may modify or stop an exercise for safety reasons.
15.4 Our House Rules require you to:
- wear clean training clothes and indoor-only training shoes
- bring a towel, use deodorant and wipe equipment after use
- treat coaches, staff and members with respect
- refrain from harassment, bullying, hate speech and discrimination
- refrain from coaching others or selling anything in the studio
- refrain from smoking, vaping, alcohol and illegal substances
- bring animals only with our prior permission (assistance dogs are always welcome)
The full House Rules are posted in the studio and on our website.
15.5 We may close the studio for maintenance, events or safety. We tell you in advance where possible and credit or move affected sessions. If a closure lasts more than 7 consecutive days, we pause your membership and payments for its full length.
16. Liability and insurance
16.1 We are liable for damage caused by our fault or the fault of our staff. We are not liable for damage caused by your misuse of equipment, by your failure to follow instructions, or by a health condition you did not tell us about.
16.2 Nothing in these Terms limits our liability for death or personal injury caused by our fault, for intent, gross fault or fraud by us or our staff, or for any other liability the law does not allow us to limit.
16.3 We are not liable for loss, theft or damage to your belongings unless we or our staff caused it. We keep items left behind for 30 days, then donate them.
16.4 We carry civil liability insurance. We recommend you carry personal accident insurance that covers sport.
17. Personal data and images
17.1 We process your personal data under the GDPR. Our Privacy Policy explains what we collect, why, how long we keep it and who processes it for us. We give it to you at signup and publish it on our website.
17.2 We use health information you give us, such as your health declaration, medical certificates and body composition scans, only to coach you safely and to handle suspensions. We process it on the legal basis set out in our Privacy Policy and keep it only as long as needed.
17.3 We use photos or videos of you in marketing or on social media only if you give separate consent at signup or later. You can withdraw that consent at any time by email. We then stop using your image in new material and remove it from our channels where we can. Videos we record for coaching feedback are never published.
17.4 Where we use CCTV, we signpost it, declare it as Belgian camera law requires and process footage under our Privacy Policy.
17.5 You can ask to access, correct, erase, restrict, port or object to the processing of your data by emailing info@only4coaching.com. You can also complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels.
18. Complaints and disputes
18.1 Email your complaint to info@only4coaching.com. We reply within 10 working days.
18.2 If we cannot resolve it, you can contact the Consumer Mediation Service (Service de Médiation pour le Consommateur), Boulevard du Roi Albert II 8 box 1, 1000 Brussels, www.mediationconsommateur.be.
18.3 Belgian law governs this contract. The courts of Brussels have jurisdiction. You keep any mandatory right to bring a claim in the courts where you live.
19. General provisions
19.1 Nothing in these Terms limits your mandatory rights under Belgian or European consumer law.
19.2 If a court finds a clause invalid, the other clauses stay in force.
19.3 If we do not enforce a clause, we keep the right to enforce it later.
19.4 If a clause is unclear, we read it in your favour.
19.5 These Terms are available in English. If we provide a French or Dutch version, the version you accepted at signup prevails.

19.7 These Terms take effect on 30 September 2026.
19.8 Existing members. If you signed up before these Terms took effect, the version you accepted continues to apply. We move you to these Terms only after at least 30 days notice by email. If the change is to your disadvantage, you can end your membership free of charge before it takes effect, under clause 14.4.
19.9 Previous versions. We keep every previous version of these Terms. Email us for the version you accepted.
