Important notice: These Terms are intended for use in Belgium. They should be read together with Only4Coaching’s House Rules, Privacy Policy, and any service-specific addenda. If you sign up online or outside the Gym, special consumer rules apply (see Right of Withdrawal below).

  1. Scope, Acceptance and Updates 1.1 These Terms govern the contractual relationship between Only4Coaching and any person who purchases or uses our services, memberships, passes or packages (the Member).

1.2 Only4Coaching provideS Semi-Private Coaching and Private Coaching. Open Gym Access Sessions are an optional add-on and must be booked in advance; there is no unrestricted walk-in access.

1.3 By purchasing or using any membership, package, pass, class or coaching service, the Member confirms that they have read, understood, and agree to these Terms and the House Rules. The Terms, House Rules and any signed membership agreement together form the Contract.

1.4 Only4Coaching may update these Terms or House Rules to reflect operational, legal or safety changes. We will notify Members of material changes by email. If a change materially disadvantages the Member (for example, price increase or essential service change), the Member may cancel (see Cancellation by Member) before the effective date.

  1. Definitions Membership: an ongoing subscription (monthly, with a minimum term), or a fixed-term product (for example, class pack) that grants access to services. Packages: Private or semi-private coaching packages with defined numbers of sessions. House Rules: operational rules posted in-club and on our website (dress, hygiene, conduct, safety, booking rules, etc.). Working day: Monday–Friday excluding Belgian public holidays.

  2. Membership Types and Eligibility 3.1 Semi-Private Coaching Subscription — rolling monthly payments with a 6-month minimum commitment (the Minimum Term). After the Minimum Term, the subscription continues month-to-month.

3.2 Private Coaching Packages — prepaid, session-based (validity stated at purchase).

3.3 Semi-Private Coaching Packages — prepaid, session-based (validity stated at purchase).

3.4 Open Gym Access Sessions (optional add-on) — capacity-limited timeslots that must be booked in advance. Open Gym does not grant general access outside the booked slot.

3.5 Age: The Gym is 18+. Minors (16–17) may be admitted for specified programs only with written parental or guardian consent and subject to coach approval. The Gym may refuse minor participation if we consider it unsafe or unsuitable.

3.6 Memberships are personal and non-transferable. Access credentials (for example, badges, QR codes) may not be shared. Misuse may lead to penalties, blocked access or termination (see Termination by Gym).

  1. Health, Safety and Conduct 4.1 Health declaration. By joining, the Member confirms that they are fit to engage in physical activity. Members must promptly inform the Gym of any health changes relevant to training. We may request medical clearance where appropriate.

4.2 Instructions and supervision. Members must follow coach or staff instructions, use equipment responsibly, and not perform exercises they have not been shown to do safely.

4.3 House Rules (summary): clean workout clothing; indoor-only training shoes; personal hygiene (use deodorant; bring a towel; wipe equipment after use); respectful conduct toward staff and members; no harassment, bullying, hate speech or discrimination; no outside personal training or coaching; no commercial solicitation; no smoking or vaping; no alcohol or illegal substances; no animals (except certified assistance dogs). The full House Rules form part of these Terms.

4.4 Zero tolerance. Discrimination, hate speech, violence, intimidation, sexual harassment or other serious misconduct may result in immediate termination without refund.

4.5 Belongings. Lockers are for use during your visit only. The Gym is not responsible for loss, theft or damage of personal items left on the premises. Uncollected items may be donated or disposed of after a reasonable retention period.

4.6 Photography and media. The Gym may capture photos or videos for community and marketing purposes. Members may opt out at any time by emailing info@only4coaching.com; we will respect your preference and, where feasible, blur or remove your image from future materials.

4.7 Facilities and maintenance. We may temporarily close areas for cleaning, maintenance, events, or safety. We aim to minimise disruption, but closures do not automatically entitle Members to compensation unless the service interruption is substantial and prolonged.

  1. Prices, Payments and Direct Debit 5.1 Prices and taxes. Prices (including VAT where applicable) are published at purchase. We may adjust prices; notice will be given. See Changes to Prices or Terms below.

5.2 Payment methods. Prepaid items (for example, packages, passes) are payable upfront. Subscriptions are billed monthly by SEPA direct debit. Subscriptions have a 6-month Minimum Term; after that, they continue month-to-month until cancelled per Section 9.

5.3 SEPA direct debit. Cancelling a direct debit does not cancel the Contract. The Member remains responsible for amounts due by another accepted method until the Contract ends.

5.4 Failed payments. If a direct debit fails, access may be blocked until payment is settled. We will send at least one cost-free reminder. Statutory interest and permitted collection costs may apply on overdue amounts. Repeated failures may lead to termination for non-payment (see Termination by Gym).

5.5 Invoices. Business invoices can be requested at purchase or within 30 days of membership start. No retroactive re-invoicing beyond this period.

  1. Booking, Punctuality, Cancellations and No-Shows (Classes, Coaching, Open Gym) 6.1 Booking required. All classes, coached sessions and Open Gym Access Sessions must be booked in advance via the Gym’s designated app or portal. Space is limited; a booking does not guarantee recurring access.

6.2 Session length and punctuality. Unless otherwise stated, sessions last 60 minutes. Start and finish on time. Coaches will begin and end on schedule. Arriving late does not extend your session; it will still end at the scheduled time.

6.3 Clearing the training space. When the 60-minute session ends, Members must immediately vacate the training space to allow turnover for the next session. No training beyond your booked slot (including Open Gym).

6.4 Member cancellation. Cancel booked sessions at least 8 hours before start via the app or portal. Late cancellations or no-shows may incur a fee and or forfeit of the session.

6.5 No-show or late-cancel fees. The Gym may charge reasonable fees to protect capacity (fee amount posted in the app or portal and at reception). Unpaid fees may block future bookings.

6.6 Coach cancellations or changes. Schedules may change. If we cancel a session, we will offer a suitable alternative or credit or refund for the affected session.

  1. Suspension (Freeze) 7.1 Medical suspension. If the Member is unable to train for 4 or more weeks due to illness or injury, they may request a suspension by emailing info@only4coaching.com with a medical certificate. Suspensions apply prospectively. During suspension, access is paused and the membership term is extended accordingly.

7.2 Membership freeze (monthly payments; 6-month contract). Members on monthly subscriptions (with a 6-month Minimum Term) may freeze their membership for a minimum of 2 weeks per freeze. A 50 euro fee per freeze applies. During a freeze, access and monthly billing are paused for the approved freeze period, and the Minimum Term is extended by the same length. Request by email to info@only4coaching.com at least 5 working days before the intended start date.

7.3 Packages or passes. Packages and passes may have different suspension rules (see product description).

  1. Right of Withdrawal (Distance or Online Sales Only) 8.1 If you purchase a membership or package online (distance contract), you have 14 calendar days from the contract date to withdraw without reason. To exercise, email info@only4coaching.com with your name, purchase details and statement of withdrawal.

8.2 If you ask us to start providing services during the 14-day period (for example, you book or attend sessions), you owe a pro-rata amount for services already provided. Once a package is fully performed, the withdrawal right no longer applies.

8.3 The withdrawal right does not apply to purchases made in person at the Gym.

  1. Cancellation by Member 9.1 Monthly subscriptions (Minimum Term). You may cancel anytime after the 6-month Minimum Term by giving one full calendar month’s notice, effective on the last day of the month following notice. Example: notice received 10 March leads to contract ending 30 April.

9.2 Annual subscriptions. Not offered.

9.3 Early termination for hardship (discretionary). We may allow early termination (with documentary proof) for relocation more than 25 km from the Gym, or long-term medical incapacity (more than 8 weeks). Any prepaid, unused portion will be pro-rated and refunded (less any discounts already consumed).

9.4 How to cancel. Send written notice to info@only4coaching.com (or by letter to the address above). Your cancellation is effective when we acknowledge receipt. Keep our confirmation for your records.

  1. Termination by Gym 10.1 Immediate termination for cause (no refund) if the Member:

  • seriously violates House Rules (for example, harassment, discrimination, threats, violence, dangerous conduct),

  • repeatedly breaches rules after written warning,

  • willfully damages property or illicitly removes Gym property,

  • allows third parties to use their personal access,

  • endangers themselves or others by refusing reasonable safety instructions,

  • persists in non-payment after reminder(s) and blocked access.

10.2 Termination with notice (without fault). The Gym may end a membership that is no longer a suitable fit, by giving one calendar month’s notice and pro-rating a refund of unused prepaid fees, if any.

10.3 On termination for any reason, all access rights cease and any outstanding sums become immediately due.

11. Changes to Prices/Terms

11.1 We may change prices or Terms with advance notice by email.

11.2 Price changes: If you do not accept a price change, you may cancel per **9.1**; until your contract ends, the **old price** applies.

11.3 Terms changes. If a change materially disadvantages you, you may cancel before the effective date; otherwise the updated Terms apply from the notified date.

12. Liability & Insurance

12.1 You exercise at your own risk. To the maximum extent permitted by law, Only4Coaching is not liable for injury, loss or damage arising from misuse of equipment, failure to follow instructions, or pre‑existing conditions.

12.2 Nothing in these Terms limits liability for death or personal injury caused by our fault, gross negligence, fraud or any liability that cannot legally be limited.

12.3 Members are advised to carry personal accident/health insurance appropriate to sports activities. The Gym maintains civil liability insurance as required by law.

13. Data Protection & CCTV

13.1 We process personal data in accordance with the **GDPR** and our **Privacy Policy** (available on request or on our website).

13.2 Access control systems and CCTV may operate for security and safety. Where CCTV is used, it is signposted and processed per our Privacy Policy.

13.3 To exercise your data rights (access, rectification, objection, deletion, restriction, portability), contact **info@only4coaching.com**.

14. Complaints & Dispute Resolution

14.1 Talk to us first. Email **info@only4coaching.com** and we will seek to resolve your concern promptly.

14.2 Mediation (voluntary. If we cannot resolve a consumer dispute, you may contact the Consumer Mediation Service (Service de Médiation pour le Consommateur / Consumentenombudsdienst).

14.3 Jurisdiction. The Contract is governed by Belgian law. The courts of Brussels have non‑exclusive jurisdiction. Consumers also retain any mandatory rights to bring claims in their local courts.

15. Miscellaneous

15.1 Severability. If any provision is invalid, the remainder remains in force.

15.2 No waiver. A failure to enforce a term is not a waiver of rights.

15.3 Language. These Terms may be provided in English, French and Dutch. In case of discrepancy, the version accepted by you at sign‑up prevails.
